Meeting Rooms


Branigan Memorial Library is designed to accomodate a variety of public meetings and programs. The following guidelines have been established to govern use of Library meeting rooms.

Meeting rooms may be scheduled for the following purposes:
  • Locally sponsored informational, educational and cultural programs
  • Meetings of local civic or non-profit organizations
  • Library-sponsored programs
Programs by out-of-town organizations must be co-sponsored by a local group with the approval of the Library Administrator. Library and City of Las Cruces meetings and programs will always receive priority over those of other organizations and may preempt previously scheduled non-Library meetings.

All meetings or programs must be free and open to the public.

All room set-up must be accomplished during these hours.

8:00 A.M. to 8:30 P.M.
Friday
8:00 A.M. to 5:30 P.M.
Saturday
10:00 A.M. to 5:30 P.M.
Sunday (August through May)
1:00 P.M. to 4:30 P.M.

Library hours are:

8:00 A.M. to 9:00 P.M.
Friday
8:00 A.M. to 6:00 P.M.
Saturday
10:00 A.M. to 6:00 P.M.
Sunday (August through May)
1:00 P.M. to 5:00 P.M.

Meeting Room Regulations

  1. Meeting rooms may be reserved for use by educational, civic, cultural and governmental groups when no admission is charged. Exceptions to the "no charge" rule may be made for meetings sponsored by the Library or an approved non-profut educational group or institution. The room may not be used by commercial groups for sales purposes.
  2. Thomas Branigan Memorial Library will not accept reservations for more than four consecutive meetings of any organization.
  3. Organizations will be held responsible for damage to meeting rooms. Future usage will be refused if a meeting room is damaged.
  4. Meetings must be finished one half hour before the Library closes. Library staff will be responsible for locking the Library building and turning off lights at closing time.
  5. Organizations may request a specific set up for meeting rooms. Due to personnel shortages, the Library cannot guarantee all setups as requested.
  6. The Library cannot provide personnel to greet meeting attendees, or assist in handling exhibits and other materials needed by organizations using a meeting room.
  7. No smoking is allowed in the Library building and no candles, or open flames are permitted in meeting rooms.
  8. The serving of food in the meeting rooms must be approved prior to the meeting. No alcoholic beverages may be served on City property. The Library does not provide paper products or refreshments for meetings.
  9. The maximum capacity for all rooms shall be observed.
  10. Thomas Branignan Memorial Library is not responsible for articles lost, stolen or damaged, nor for personal injuries sustained on the premesis.
  11. Materials may not be sold nor fees charged without the approval of the Library Administrator. Organizations that are allowed to charge admission for programs or to sell materials shall pay a portion of the total receipts to Thomas Branigan Memorial Library, that portion to be negotiated by the Library Administrator.
  12. In the event of a meeting cancellation, please notify us at (505) 528-4000 as soon as possible to allow another organization to use the room.
  13. The Library Administrator may refuse the use of the meeting rooms to any individual or organization that does not abide by the regulations.
  14. An adult member or sponsor for the organization shall confirm the date requested, and assume full responsibility for the condition of the meeting room used. Organizations are responsible for picking up all trash after meetings.
  15. The Library does not necessarily advocate or approve of the viewpoints of meetings or meeting room users.
  16. All meetings must be open to the public. Exceptions may be made for meetings sponsored by the Library or the City of Las Cruces. Facility users will ensure that all programs, services and activities are accessible to and useable by persons with disabilities in accordance with the Americans with Disabilities Act, including but not limited to, equal opportunity to participate and benefit, equally effective communication for persons with speech, hearing and other impairments, integrated seating and the provision of reasonable modifications and/or accomodations and shall adhere to the City of Las Cruces Communication Policy.
  17. These regulations and the procedures for reserving and using meeting rooms are subject to change.
